Introduction

Accounting assistant in the Finance and Administrative Processes (FAP) Department, Accounting (ACC) Group, Accounts Payable (AP) Section.

You will join:

.The Finance and Administrative Processes (FAP) Department which is responsible to effectively and efficiently manage the financial resources and commitments of the Organization, ensuring compliance with financial rules and procedures of CERN.

.The Accounting Services group (ACC) which is responsible for all accounting transactions of the Organization, from controlling and paying invoices to suppliers and the payroll for the members of personnel, recording of assets and liabilities, to preparing the financial statements, all in compliance with the CERN Financial Rules and Regulations, CERN Staff Rules, and IPSAS.

.The Accounts Payable (AP) Section which is responsible for monitoring invoices before payment, the implementation of procedures ensuring a high quality processing of invoices within the deadlines, and monitoring of accounts payable.

Functions

As Accounting Assistant, you will gradually become an integral part of the team by progressively assuming various tasks, notably assisting with the following functions:

.Register, check and put to payment the invoices received by the organization (over 48,000 invoices per year).

.Monitor and follow up contracts and orders to which you are assigned, working closely with the technical managers, buyers and suppliers.

.Respond to a significant volume of ad hoc requests from both internal and external contacts.

.Eventually learn and provide backup on all treatments performed by the section.

.Analyse information and provide your input on new projects (eg. e-Procurement).

.Support the AP team by being flexible times of movements of personnel or a surplus of work.

.Code and enter financial accounting entries related to payables, and monitor supplier accounts.

.Maintain regular contact and good interactions with the various internal and external stakeholders.

Qualification required

Technical certificate or general secondary education in the field of Accounting, or equivalent*.

*Please note that preference will be given to candidates with the above-mentioned qualifications: In principle consideration will not be given to applications from people with higher qualifications.

Experience and competencies

The experience required for this post is:

.Initial experience in the field of Accounting.

.Experience in Accounts Payable would be an asset.

The technical competencies required for this post are:

.Book-keeping.

.Payables and receivables accounting.

.Use of Office software packages.

.Personnel and material costs analysis and control.
